Privacy Policy

1. Data controller

The controller for the data collected through kaizenteam.it is the Kaizen team. For any privacy-related request, write to info@kaizenteam.it.

2. Data we collect and why

Signing in. You can sign in with Discord (we receive your Discord username, avatar, and ID, per your Discord account settings) or with your email via a sign-in link (we only receive your email address). This data is used to let you sign in and recognize you as a registered user.

Tournament registration. If you register a team, we store the team name, your teammates' names (free text, no account required for them), and the screenshots you upload as proof of results.

"Apply now" application. Applying requires you to be signed in: we use your account's email to contact you if your application is successful. The form also collects only your first name, age, in-game name, why you want to join the team, and any previous team.

Official team roster. Data for official roster members (name, role, photo, social links) is published by staff with that person's consent.

Abuse prevention. When you submit an application or register a team, we temporarily record your IP address to prevent repeated, automated submissions — it is automatically deleted within a few minutes and isn't linked to the rest of your data.

3. Legal basis

We process your data to provide the service you request (creating an account, registering a team, submitting an application) and, where applicable, based on your explicit consent. Preventing abuse of the site's forms is based on our legitimate interest in protecting the service.

4. Who we share data with

We rely on a few external providers (data processors) to run the site:

• Supabase — database hosting, authentication, and photo/screenshot storage.
• Resend — sending emails (sign-in links, application notifications).
• Discord — only if you choose to sign in with Discord, per Discord's own privacy policy.
• Vercel — site hosting and aggregate, anonymous visit statistics (pages visited, country, device type), with no cookies and no personally identifying data.

We never sell or share your data with third parties for advertising purposes.

5. Data retention

Your account and team/results data is kept as long as your account is active or relevant to tournament history. Applications remain visible to staff until reviewed, after which they can be deleted on request.

6. Minors

The service, and the "Apply now" form in particular, is intended for people who are at least 18 years old. The age declared in the form is not verified against identity documents.

7. Your rights

You can ask us at any time to access, correct, delete, or restrict the use of your data, or to receive it in a portable format, by writing to info@kaizenteam.it. You also have the right to lodge a complaint with the Italian Data Protection Authority (Garante Privacy).
